Shawcan Energy Solutions Ltd (“we”, “us”, “our”) is a company registered in England under company number 12983697. Our registered address is Chandos House, School Lane, Buckingham, Buckinghamshire, MK18 1HD.

We install renewable technologies, including solar PV, energy storage, EV chargers and heat pumps.

For the purposes of the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018, we are the data controller for the personal data described in this policy.

2. The information we collect

The personal information we ask for depends on the services we provide. In general, we need:

  • your name
  • your address (including the installation address)
  • your telephone number
  • your email address

3. Why we use your information

We use your information to:

  • carry out surveys
  • prepare estimates, quotations and sales contracts for installation services and the materials we supply
  • carry out and support your installation
  • meet building regulations and the requirements of our accrediting bodies
  • provide advice, support, warranty and aftercare for the services and materials we have provided

We do not send marketing or newsletters. We will never sell your information or share it with third parties for their marketing.

4. Our lawful bases

Under UK GDPR we must have a lawful basis for using your personal data. We rely on:

  • Contract: to respond to your enquiry, prepare quotations, and carry out the work you have asked us to do.
  • Legal obligation: to meet building regulations, certification and notification requirements, and to keep tax and accounting records.
  • Legitimate interests: to provide ongoing support, warranty and aftercare, to manage our quality management system, and to deal with any claims or disputes. We only rely on this where it does not override your rights.

5. Who we share your information with

We may share your personal data with:

  • Accrediting and certification bodies, such as NICEIC, MCS and RECC, when raising the certification needed for your installation.
  • Local authorities and distribution network operators (DNOs), for building regulations compliance and installation permissions and notifications.
  • Material suppliers, to arrange deliveries.
  • Product manufacturers, for technical support and warranties.
  • Insurance companies, to provide insurance-backed deposit protection and warranty guarantees.
  • Ofgem, when we apply for the Boiler Upgrade Scheme on your behalf.
  • Our accountant, for accounting and tax purposes.
  • Email and cloud service providers, who store and process data for us.

We only share what each organisation needs for that purpose.

6. How we keep your information secure

Your information is stored on our computer within our quality management system and on an external backup hard drive kept in a secure place. We have reasonable technical and organisational measures in place to protect your data from unauthorised access, loss or misuse.

Some of our service providers may store data outside the UK. Where they do, we make sure appropriate safeguards are in place, such as UK adequacy regulations or the UK International Data Transfer Agreement.

7. How long we keep your information

We keep your information only for as long as we need it:

  • Enquiries and quotations that do not go ahead: 2 years from our last contact with you.
  • Customer and installation records (including certificates and warranty information): for the life of the longest applicable warranty or guarantee, or as long as MCS and our other accrediting bodies require, whichever is longer.
  • Financial and accounting records: 6 years from the end of the financial year they relate to, as required by HMRC.

After these periods we securely delete or destroy your information.

8. Your rights

Under data protection law you have the right to:

  • be informed about how we use your data (this policy)
  • access the personal data we hold about you
  • have inaccurate data corrected
  • have your data erased in certain circumstances
  • restrict how we use your data in certain circumstances
  • object to us using your data, including for direct marketing
  • data portability: receive your data in a commonly used format, or have it sent to another organisation, in certain circumstances

Some rights are limited. For example, we may need to keep installation records to meet certification or warranty obligations.

To exercise any of your rights, contact us at info@shawcan.co.uk or write to us at the address in section 1. We may ask you to confirm your identity. We will respond within one month and there is normally no charge.

10. Cookies

Our website only uses essential cookies, which are small files stored on your device that the site needs to work (for example, those set by WordPress and our contact forms). We do not use analytics, advertising or tracking cookies.

Our website loads fonts from Google Fonts. When you visit, your browser connects to Google’s servers and Google receives your IP address. See Google’s privacy policy at policies.google.com/privacy.

You can control or delete cookies through your browser settings. Blocking essential cookies may affect how the site works.

Information you send through our website contact form is used only to respond to your enquiry and is handled as described in this policy.
